Account Setup

Configure your Olympus Cloud account to get the most out of the platform.


Profile Settings

Update Your Profile

  1. Click your profile icon in the top right corner
  2. Select Settings > Profile
  3. Update your information:

  1. Click Save Changes

Profile Photo Guidelines

  • Format: JPG, PNG, or GIF
  • Size: Under 5MB
  • Dimensions: 400x400px recommended (will be cropped to square)
  • Content: Professional headshot works best

Notification Preferences

Control how and when you receive notifications.

Notification Channels

Configure Notifications

  1. Go to Settings > Notifications
  2. For each notification type, choose your preferences:

Quiet Hours

Disable non-urgent notifications during off hours:

  1. Go to Settings > Notifications > Quiet Hours
  2. Enable Quiet Hours
  3. Set start time (e.g., 10:00 PM)
  4. Set end time (e.g., 7:00 AM)
  5. Choose days to apply
note

Critical notifications (shift cancellations, emergencies) will still come through during quiet hours.


Security Settings

Change Password

  1. Go to Settings > Security
  2. Click Change Password
  3. Enter your current password
  4. Enter your new password:
    • Minimum 8 characters
    • At least one uppercase letter
    • At least one number
    • At least one special character
  5. Confirm new password
  6. Click Update Password

Two-Factor Authentication (2FA)

Add an extra layer of security to your account.

Enable 2FA with Authenticator App

  1. Go to Settings > Security > Two-Factor Authentication
  2. Click Enable 2FA
  3. Choose Authenticator App
  4. Scan the QR code with your authenticator app:
    • Google Authenticator
    • Authy
    • Microsoft Authenticator
    • 1Password
  5. Enter the 6-digit code from your app
  6. Save your backup codes securely
  7. Click Enable

Enable 2FA with SMS

  1. Go to Settings > Security > Two-Factor Authentication
  2. Click Enable 2FA
  3. Choose SMS
  4. Verify your phone number
  5. Enter the code sent via SMS
  6. Save your backup codes securely
  7. Click Enable

Backup Codes

When you enable 2FA, you'll receive 10 backup codes. Store these securely:

  • Each code can only be used once
  • Use if you lose access to your authenticator
  • Generate new codes anytime in Security settings
  • Keep them in a password manager or printed in a safe place

Active Sessions

View and manage devices logged into your account:

  1. Go to Settings > Security > Active Sessions
  2. View all logged-in devices:
    • Device type
    • Location (approximate)
    • Last active time
  3. Click Sign Out next to any suspicious sessions
  4. Click Sign Out All Other Sessions for complete security

Connected Devices

Mobile App

View mobile devices connected to your account:

  1. Go to Settings > Connected Devices
  2. See list of mobile devices with:
    • Device name
    • Operating system
    • Last active
    • Push notification status

Remove a Device

  1. Find the device in the list
  2. Click the trash icon
  3. Confirm removal
  4. The device will be logged out

Account Management

Download Your Data

Request a copy of your personal data:

  1. Go to Settings > Privacy > Download My Data
  2. Click Request Download
  3. You'll receive an email with download link within 48 hours

Delete Account

Deleting your account is permanent. You'll lose access to schedules, messages, and time records.

To delete your account:

  1. Go to Settings > Account > Delete Account
  2. Enter your password
  3. Select reason for leaving (optional)
  4. Click Delete My Account
  5. Confirm in the popup

Note: Only available if your employer allows self-service account deletion.
