Getting Started

First-Time Setup

  1. Download the app
  2. Open and tap Sign In
  3. Enter your organization code
  4. Sign in with email/password or SSO
  5. Allow notifications (recommended)
  6. Allow location access (for clock-in)
  7. Set up biometric login (optional)

Biometric Login

Enable Face ID or fingerprint:

  1. Go to Settings > Security
  2. Toggle Biometric Login
  3. Confirm with your password
  4. Use face/fingerprint to log in

PIN Login

Set up a 4-6 digit PIN:

  1. Go to Settings > Security
  2. Tap Set Up PIN
  3. Create your PIN
  4. Confirm PIN
  5. Use PIN as backup to biometrics

QR Code Login

Quick sign-in from shared devices:

  1. On the mobile app, go to Settings > QR Sign In
  2. Scan the QR code shown on shared device
  3. Confirm your identity
  4. Signed in on both devices

Shift Swaps

Requesting a Swap

  1. Open the shift you want to swap
  2. Tap Request Swap
  3. Select coworker to swap with
  4. Add optional note
  5. Submit request

Managing Swap Requests

View incoming requests:

  1. Go to Schedule > Swap Requests

Request time off directly from the app.

Submitting a Request

  1. Go to Schedule > Time Off
  2. Tap New Request
  3. Select dates
  4. Choose type (vacation, sick, personal)
  5. Add notes if needed
  6. Submit

Time Clock Kiosk Mode

Shared Device Solution

Kiosk Mode turns any tablet into a shared time clock station. This is ideal for locations where employees do not carry personal devices during their shift.

Use a shared tablet as a dedicated time clock.

Setting Up Kiosk Mode

  1. Install Workforce app on tablet
  2. Log in as administrator
  3. Go to Settings > Kiosk Mode
  4. Select location
  5. Configure options
  6. Enable Kiosk Mode

Manager Override

Managers can:

  • Fix missed punches
  • Adjust clock times
  • Override location checks
  • View recent clock events

Offline Reliability

If internet is unavailable:

  • Clock events queued locally
  • Syncs when connection restored

GPS & Location

Clock-In Verification

GPS verifies you're at the work location:

Location Permissions

Location Access Required

If your organization uses geofenced clock-in, you must grant location access or you will be unable to clock in. "While Using App" is the minimum required permission level.

For accurate clock-in:

  1. Allow "While Using App" (minimum)
  2. Or allow "Always" for reminders
  3. Check Settings if not working

FAQ

Which devices are supported?

  • iPhone: iOS 14.0 or later

Why can't I clock in from the app?

Common issues:

  • Location off: Enable GPS and allow location access
  • Outside geofence: Must be at work location
  • No internet: Clock action queues but may show error
  • App outdated: Update to latest version

How do I reset my PIN?

Go to Settings > Security > Reset PIN. You'll need to verify your identity with your password or biometrics before setting a new PIN.

Does the app work without internet?

Limited functionality works offline:

  • View cached schedule
  • View recent messages
  • View employee directory
  • Queue clock actions (sync when online)

Real-time features require connection.

Why is my battery draining fast?

Location services for clock-in use battery. To optimize:

  • Set location permission to "While Using App"
  • Close the app when not needed
  • Disable widgets if not used
  • Check if background refresh is limited

Can I use the app on multiple phones?

Yes, but only one device can be active at a time. Logging in on a new device signs you out of the previous one.

How do I update the app?

  • iOS: Open App Store > Profile > Check for Updates
  • Android: Open Play Store > Menu > My Apps > Update

Enable automatic updates for the latest features and security fixes.

Why don't I see my schedule?

Your manager may not have published the schedule yet. If the schedule exists but isn't showing:

  • Pull down to refresh
  • Check your internet connection
  • Log out and back in
  • Reinstall the app if issues persist
