Sending Messages

Text Messages

  1. Open a conversation or start new chat
  2. Type your message in the text field
  3. Tap Send

Voice Messages

  1. Tap and hold the microphone icon
  2. Speak your message
  3. Release to send
  4. AI automatically transcribes for searchability

Sharing Files

File Size Limit

The maximum file size for attachments is 25MB. Supported formats include images (JPG, PNG, GIF), documents (PDF, Word, Excel, PowerPoint), and voice recordings.

Attach files to your messages:

  • Photos - From camera or gallery
  • Documents - PDF, Word, Excel
  • Voice recordings - Pre-recorded audio

Tap the attachment icon to add files.

Message Features

Reactions

Add quick emoji reactions:

  1. Tap and hold any message
  2. Select an emoji reaction
  3. Reaction appears on message

Replies

Create threaded conversations:

  1. Swipe right on a message (or tap Reply)
  2. Type your response
  3. Reply linked to original message

Mentions

Get someone's attention:

  1. Type @ followed by their name
  2. Select from suggestions
  3. They receive a notification

Pinned Messages

Managers can pin important messages:

  • Pinned messages stay at top
  • View all pins in conversation info
  • Easy reference for important info

Find past messages:

  1. Tap Search icon
  2. Enter keywords
  3. Filter by:
    • Person
    • Date range
    • Conversation

Voice Transcription

All voice messages are automatically transcribed:

  • Text appears below the audio
  • Searchable in message history
  • 6 languages supported for NLU (English, Spanish, French, German, Portuguese, Chinese)
  • Powered by Whisper v3

Starting New Conversations

New Direct Message

  1. Tap + or New Message
  2. Search for a person
  3. Select them
  4. Start chatting

New Group Chat

  1. Tap + > New Group
  2. Add members
  3. Name the group
  4. Create

Managing Group Chats

Group admins can:

  • Add/remove members
  • Change group name
  • Set group photo
  • Archive the group

Notifications

Configure Alerts

  1. Go to Settings > Notifications
  2. For messages, choose:
    • All messages
    • Mentions only
    • None

Muting Conversations

Mute noisy chats:

  1. Open conversation
  2. Tap info icon
  3. Toggle Mute
  4. Choose duration

  • Keep work conversations in the app

FAQ

Can I delete a message I sent?

You can delete messages you sent within a limited time window (usually 15 minutes). After that, the message is permanent. Deleted messages show "This message was deleted" to others.

Are my direct messages private?

Admin Visibility

Direct messages are private between you and the recipient. However, messages may be accessible to administrators for compliance and legal purposes per your organization's policies.

How do I leave a group chat?

Open the group, tap the info icon, scroll down, and select Leave Group. You won't receive new messages, but your previous messages remain visible to other members.

Why aren't my notifications working?

Check these settings:

  1. App notifications are enabled in device settings
  2. You haven't muted the conversation
  3. Do Not Disturb is off
  4. The app has notification permissions
  5. Battery optimization isn't blocking notifications (Android)

Can I use Team Chat on multiple devices?

Yes, Team Chat syncs across all your devices. Messages you read on one device show as read on all devices.

How do I report inappropriate messages?

Tap and hold the message, select Report, choose a reason, and submit. Reports go to your administrator for review.

What file types can I share?

You can share:

  • Images (JPG, PNG, GIF)
  • Documents (PDF, Word, Excel, PowerPoint)
  • Voice recordings
  • Maximum file size is 25MB

How do I find old messages?

Use the search feature to find messages by keyword, person, or date range. You can also scroll up in a conversation to load older messages.
