Schedule Management

Creating Shifts

  1. Go to Schedule > Create Shift
  2. Select:
    • Date and time range
    • Department/location
    • Position/role required
  3. Assign employee or leave open
  4. Add notes (optional)
  5. Save (draft) or Publish

Bulk Scheduling

Create multiple shifts at once:

  1. Go to Schedule > Bulk Create
  2. Select date range
  3. Choose pattern (daily, weekly)
  4. Set shift times
  5. Assign or leave open
  6. Create all

Publishing Schedules

Review Before Publishing

Once published, employees receive immediate notifications and can see the schedule. Double-check for coverage gaps and shift conflicts before clicking Publish, as changes after publishing trigger additional notifications.

  1. Build schedule for the period
  2. Review coverage gaps
  3. Click Publish
  4. Employees receive notifications
  5. Schedule becomes visible to team

Schedule Templates

Save time with templates:

Create Template:

  1. Build a schedule
  2. Click Save as Template
  3. Name your template
  4. Use for future weeks

Apply Template:

  1. Go to Templates
  2. Select template
  3. Choose target week
  4. Adjust as needed
  5. Publish

Approving Requests

Time-Off Requests

  1. View pending requests in dashboard
  2. Check coverage impact
  3. Review employee balance
  4. Approve or Deny
  5. Add response notes

Shift Swap Requests

  1. Review swap details
  2. Verify both employees are qualified
  3. Check schedule impact
  4. Approve or Deny

Approval Tips

Respond Promptly

Process approval requests within 24 hours whenever possible. Delayed responses create scheduling uncertainty for employees and may lead to understaffing if time-off requests are left pending.

Team Communication

Sending Announcements

  1. Go to Announcements > New
  2. Select audience:
    • Entire team
    • Specific department
    • Specific location
    • Specific roles
  3. Write your message
  4. Choose delivery:
    • Post now
    • Schedule for later
  5. Enable acknowledgment if needed
  6. Send

Broadcast Messages

Send to your entire team at once:

  1. Go to Messages > Broadcast
  2. Write message
  3. Select audience
  4. Send
  5. Track delivery and read status

Pinning Messages

Mark important messages:

  1. Open team conversation
  2. Find the message
  3. Tap and hold > Pin
  4. Message stays at top

Managing Employees

View Team Roster

  1. Go to Team tab
  2. See all direct reports
  3. Filter by:
    • Department
    • Status (active, on leave)
    • Role

Employee Profiles

For each team member, view:

  • Contact information
  • Position and department
  • Current schedule
  • Time-off balance
  • Attendance record

Adding Notes

Document conversations or issues:

  1. Open employee profile
  2. Go to Notes
  3. Add note with date
  4. Notes visible to management only

Time Management

Reviewing Timesheets

  1. Go to Time > Team Timesheets
  2. Select pay period
  3. Review each employee's hours
  4. Check for:
    • Missing punches
    • Overtime
    • Attendance issues

Approving Timesheets

  1. Review hours for accuracy
  2. Make any corrections needed
  3. Click Approve
  4. Timesheet locked and sent to payroll

Manual Time Entries

If an employee missed a punch:

  1. Go to their timesheet
  2. Click Add Entry
  3. Enter date, time in, time out
  4. Add reason/note
  5. Save

Running Reports

  1. Go to Reports
  2. Select report type
  3. Choose date range
  4. Filter by department/location
  5. Generate
  6. Export (PDF, CSV, Excel)

Scheduled Reports

Set up automatic reports:

  1. Select a report
  2. Click Schedule
  3. Choose frequency
  4. Add email recipients
  5. Save

Troubleshooting

Schedule Won't Publish

  1. Check for shift conflicts
  2. Verify all required positions are covered
  3. Ensure you have publish permissions
  4. Check for employees with invalid certifications

Can't Approve Timesheet

  • Verify employee submitted the timesheet
  • Check for missing punches that need resolution
  • Ensure pay period hasn't closed
  • Contact HR if locked by payroll

Request Stuck Pending

  1. Check you have approval authority
  2. Verify the request wasn't already handled
  3. Refresh the page/app
  4. Check notification settings

Report Not Generating

  • Verify date range has data
  • Check you have access to all locations in scope
  • For large reports, wait up to 60 seconds
  • Try reducing date range or filters

Frequently Asked Questions

Q: How far ahead can I schedule? A: Up to 8 weeks in advance. Contact admin for longer scheduling needs.

Q: Can employees see unapproved requests? A: Yes, requests show as "Pending" until you approve or deny.

Q: How do I undo an approval? A: For time-off, cancel the approved request. For timesheets, contact HR if already submitted to payroll.

Q: Can I delegate approvals? A: Yes, go to Settings > Delegation to assign a backup approver.

Q: Where do I see historical schedules? A: Go to Schedule > History and select the date range.
